Project handover pack checklist: what should be delivered at closeout?.

The exact handover pack depends on the project, but its purpose is consistent: transfer the delivered asset, system or service into operational ownership with evidence of what was supplied and how it should be supported.

1. Start the handover register at project kickoff

Do not wait until the final week to discover that serial numbers, test records or certificates were never captured. Create a deliverable register at the start and assign an owner and due date to each handover item.

2. Acceptance and completion records

Include signed delivery notes, inspection records, commissioning certificates, acceptance tests, completion certificates and any client sign-off required by the contract.

3. As-built information

Where installation or configuration changed from the original design, provide the final state: as-built drawings, network diagrams, cable schedules, equipment layouts, configuration exports, final bills of material or other relevant records.

4. Asset and serial-number register

Record model numbers, serial numbers, locations, quantities, warranty start dates and other asset identifiers. This becomes particularly valuable when several sites or hundreds of units are involved.

5. Manuals and datasheets

Provide the documentation needed to operate and maintain the delivered items. Avoid dumping an entire manufacturer library where only a few documents apply; identify the exact models supplied.

6. Test and quality evidence

Include calibration certificates, inspection sheets, factory test records, site acceptance tests, electrical certificates, pressure tests, software test results or other quality evidence relevant to the project.

7. Warranty information

State warranty periods, start dates, exclusions, claim process, contact details and whether the warranty is carried by the contractor, distributor or manufacturer.

8. Training records

Record what training was delivered, to whom, on what date and against which material. Include attendance records and user guides where required.

9. Credentials and configuration ownership

For digital systems, define how administrator accounts, service credentials, licences, source repositories, backups and configuration files are transferred securely. Do not place live passwords casually inside an ordinary PDF handover pack.

10. Open defects and punch-list items

If minor items remain after practical completion, list each defect, owner, target date and closure evidence. This prevents “small outstanding items” from becoming invisible after the main team demobilises.

11. Support and escalation contacts

Identify the support route after handover: helpdesk, project manager, OEM, warranty centre or specialist subcontractor. Include service hours and escalation path where contracted.

12. Commercial closeout

Reconcile approved variations, final quantities, retention, outstanding invoices, credits and contractual closeout documentation so the technical and financial records agree.

13. Index the final pack

Use a consistent folder and document structure. A client should be able to locate the final drawing, warranty or test certificate months later without knowing the project team's internal naming habits.

Handover quality is a delivery-quality signal

Good closeout demonstrates that the project was controlled from procurement through acceptance. It also creates evidence that can later support references, maintenance decisions and future supplier due diligence.
